Registration for the Academic Year

Each and every student has to register at the University each year either as attending or non-attending.

Registration period:

  • Academic year 2017-2018: 1 June 2017* - 15 September 2017
  • Spring semester 2018: by 31 January 2018

Student Union membership fee is compulsory for all Master's degree students who register as attending. Only those students who have registered as being present and paid the Student Union fee are allowed to take part in courses and exams, and receive marks for the completed courses.

Please also note that degree students must be registered as attending in order to receive the degree certificate and graduate. If you graduate in August, you should register as attending at least for the autumn semester before the confirmed graduation date.

You also need to register as attending for the duration of possible exchange studies abroad. This is required because the studies you complete during your exchange period are included in the degree at our university.

Student Union membership fee is optional for doctoral students. The fee entitles doctoral students to the services of the Student Union. Please note that the fee does not entitle the doctoral students to the health care at YTHS, subsidised meals or discounts on travelling tickets.

Student Union membership fee is optional for incoming exchange students. As the exchange officially begins at the registration, and accessing the University systems is only possible after registration, it is important that exchange students register as soon as possible after arrival.

New Students

All international students have to register as a student of the University upon their arrival. Individual registration sessions will be arranged for the new students in the beginning of each semester. You will be asked to fill in a registration form and an emergency contact form in these meetings. You will also receive a username and temporary password for the university computers and university e-mail in the meeting. Please note, that some parts of the registration sessions are status-specific.

Master’s degree students are asked to present original application documents (degree certificate, transcript of records) upon registration and the copy of the paid Student Union Membership Fee. NB. Please check, if any possible country-specific requirements apply to the original degree certificates. 

Doctoral students are asked to present original application documents (degree certificate, transcript of records) and to fill in a registration form upon registration. Doctoral students are required to register as soon as their study right begins and also annually in the beginning of each academic year.

Exchange students: Separate registration sessions are organised for exchange students at the beginning of the semesters. In case exchange students have documents from the home university that are to be signed upon arrival, they can be signed at the registration.

It is important that you register as soon as possible after your arrival in Vaasa. You cannot register for courses or access any university information systems until you are registered as attending.

Please note, that degree students accepted at the University of Vaasa from (and after) August 2016 need to be enrolled as attending for the first academic year, according to a new law concerning Finnish Higher Education.

Please note that your application for the student card can be processed only after you have registered as attending at the University of Vaasa and you have paid the Student Union membership fee. You will need your student number when ordering the student card.

Current Students Who Register as Attending

Registration period for current students starts on 1 June 2017* and ends on 15 September 2017. The registration period for spring semester 2018 ends on 31 January 2018.

The Student Union membership fee for Master’s degree and exchange students:

  • Academic year 2017-2018: 142 euro
  • Autumn 2017 or spring 2018 semester only: 76 euro

You may pay the fee only for one semester at a time, if you register as non-attending for one semester and attending for the other semester.

You also have chance to make an optional donation when you pay the student union fee. With the optional fees, you can support the development co-operation projects of VYY and SYL. Please note that it is possible to pay the optional fees through WebOodi only when registering for the academic year.

How to Register?

1) Registration in WebOodi

You may register for the academic year and pay the Student Union membership fee for the academic year 2017–2018 through WebOodi system during the registration period 1 June* to 15 September. If you are registered as non-attending for the current or previous semester, you may also change your registration into attending through WebOodi within the registration period.

If you have web bank service keys of Osuuspankki, Nordea, Sampo or Paikallisosuuspankki / Aktia Savings Bank OR you have an international credit card, you may pay the Student Union membership fee online in WebOodi system and your registration will be updated automatically to the student register. Registering as non-attending can also be done through WebOodi system without web bank service keys.

If you are not a customer of any of these banks or you do not have web bank service keys, you may print a payment form from WebOodi and make the payment in some other way. Personal reference number of the payment will be provided in the printable form.

Students are recommended to pay the Student Union Membership Fee in WebOodi. Please note that if you make the payment by other means than in WebOodi, your registration will not be updated in the student register automatically. Therefore you need you submit a filled registration form to the University together with a receipt of the payment. You may bring or send the form and payment receipt to the On-Site Education Services or send the documents to the office by email at oodituki(a)uva.fi.

2) Registration Without Using WebOodi

If you don't register through WebOodi system, you can register by returning a filled and signed registration form to the On-Site Education Services. If you register as attending, you should also enclose a receipt of the paid Student Union membership fee to the registration form. Please note that the receipt must also be attached if registration is done via mail, email or fax.

If your password or username for university information systems is not valid anymore, please contact Helpdesk at the University’s Computer Center (Tel. +358 29 449 8051, E-mail: helpdesk(at)uva.fi). Computer Center administrates email accounts of students who have registered as attending at the University.

Current Students Who Register as Non-Attending

Students have to register as attending or non-attending for each academic year. If you register as non-attending, you cannot attend courses, receive marks, or graduate from the university.

You can register as non-attending in WebOodi system within the registration period. If you don't have access to WebOodi, you should fill in a registration form and return it to the On-Site Education Services. You may submit the form to the office also by mail, fax, or email (oodituki(a)uva.fi).

You may change your registration into attending through WebOod system within the registration period. If you wish to change your registration status after the deadline, please contact the On-Site Education Services.

Attending Status in More Than One University at the Same Time

If you are registered as attending at two or more universities, you should first pay the full Student Union membership fee to all the universities.

You may request for a refund for the fee of 54 euros for the services of YTHS (Finnish Student Health Service) after paying the full fees. The full fee is collected by the first university to which you register as attending, and you may ask for a refund from the other university/universities in which you are registered as attending. Doctoral Students

Post-graduate students (licentiate and doctoral students) must register as attending or non-attending students every year. Registration as attending is possible only for the students of the Graduate School of the University of Vaasa. As of the beginning of year 2012, all the post-graduate students must be signed in to the Graduate School and its doctoral programmes. In order to complete studies in the Graduate School, students must be assigned a supervisor and have up-to-date research and study plans for the doctoral studies.

If you are a doctoral student of the university, but you are not signed in to the Graduate School, please contact your supervisor and update your plans before registering. For more information, please contact the Head of Education in your home faculty. The updated study plan for doctoral studies should also be submitted to the Head of Education.

Doctoral students may join the Student Union by paying the optional student union membership fee. The fee for doctoral student for the whole academic year is 48 euro . The fee entitles doctoral students to the services of the Student Union. Please note that the fee does not entitle doctoral students to the health care services of YTHS, subsidised meals or discounts on travelling tickets.

If you have a valid study right both for a Master's and doctorate degree, you should pay the fee as instructed for Master's degree students.

Did You Forget to Register by the Deadline?

Those who have not registered by the deadline will be removed from the student register. If you want your study right to be activated again, you need to submit an application for a re-activation of study right to the university and pay a late registration fee.

A fee of 35 euro is collected from students who register as attending or non-attending after the deadline. The fee applies also to doctoral students.

Please note that the fee should not be paid to the same account as the Student Union membership fee. Please also note that you need to print out or receive a receipt of the payment. Please submit a receipt of the re-registration fee payment together with a receipt of the paid Student Union fee to the University. Instructions for making the Student Union fee payment are available under the heading 'Registration Without Using WebOodi System'.

If you haven't registered as attending or non-attending for at least one academic year, you should enclose a personal study plan to the application for activating your study right at the University. The application should be submitted to the On-Site Education Services. The decision about activating the study right is made in your faculty.

Sticker for the Academic Year

Stickers for the academic year 2017-2018 are available as of August 2017. The old sticker remains valid until the end of September.

Students who have paid the membership fee may collect the sticker of the academic year for their student cards from the service office of the Student Union (in Domus Bothnica building).
